WhatsApp CRM for real-estate agents and developers
Last updated: 2026-07-30
A property buyer who fills in a form on a listing portal is not waiting by their email. They are on WhatsApp, they have enquired about three or four projects the same evening, and they will have a conversation with whichever seller replies first.
A conventional CRM handles this badly, for a structural reason: it stores the record of a conversation that happened somewhere else. Someone has to move information between the two, and that someone is a salesperson at 9pm. What actually happens is that the CRM fills up with stale stages and empty notes, and the real state of the deal lives in an agent’s phone.
What a WhatsApp-first pipeline changes
The conversation is the record. Qualification answers are extracted from what the buyer said rather than typed in afterwards, so the pipeline reflects reality without anyone maintaining it.
- Every enquiry gets an answer immediately — from the website widget, WhatsApp, Instagram or Facebook — including at 11pm, which is when a large share of property enquiries actually arrive.
- Qualification happens in the conversation. Budget, configuration, location preference and timeline are asked naturally and captured as structured fields.
- Intent is scored Hot, Warm or Cold from the answers, so a rep opening the pipeline in the morning sees ranked leads rather than a queue in arrival order.
- Answers come from your documents. Brochures, floor plans, price sheets and FAQs are uploaded, and the AI answers strictly from them — which is what stops it inventing a carpet area or a possession date.
- Site visits are booked in the conversation, with optional two-way Google Calendar sync.
Where the human belongs
The argument for automating first response is not that software sells better than your team. It is that your team is asleep for a third of the day and in meetings for another third, and a buyer’s attention does not wait for business hours.
So the handoff is explicit. Guardrails detect the moments that need a person — price negotiation above all — and stop the AI with a takeover alert. Any rep can pause the AI mid-conversation, reply themselves, and resume it. The AI holds attention and gathers facts; the rep closes.
What you get on each plan
The website chat widget is on every plan including the free one, so you can put this in front of real enquiries before paying for a messaging channel. WhatsApp, Instagram and Facebook are paid channels — Growth includes 1, with 5 seats and 1,000 leads. Full comparison on the pricing page.
Before you commit
Two things are worth knowing in advance, because both surprise people:
- Connecting a number to the WhatsApp Business Platform takes it out of the consumer WhatsApp app. If your main sales number is currently a phone someone carries, decide deliberately whether to migrate it or start a new one.
- Messaging cost is driven by how fast you reply, not how much you send. Conversations inside Meta’s 24-hour window are free; restarting a lapsed one needs a paid template. We wrote up what the WhatsApp Business Platform actually costs in India rather than repeat a rate card that is already out of date.
Common questions
Is this a CRM, or a WhatsApp tool?
Both, and that is the point. The conversation and the lead record are the same object — the pipeline stage, qualification answers and intent score are derived from what the buyer actually said, so there is no separate CRM to keep in sync.
Do I need a separate WhatsApp number for this?
You connect a number to the WhatsApp Business Platform. A number already registered to the consumer WhatsApp app has to be migrated, which means it can no longer be used in that app on a phone. Plan for that before connecting your primary number.
Can each agent see only their own leads?
Yes. Salespeople see the leads assigned to them; admins see the whole pipeline. Any rep can pause the AI on a conversation, reply manually, and hand it back.
What happens if the AI does not know an answer?
It answers only from the documents you upload. When a question falls outside them, or hits a guardrail such as price negotiation, it stops and raises a takeover alert rather than guessing.
Does it work alongside an existing CRM?
It is designed to be the pipeline rather than to sit beside one. If you already run a CRM your team genuinely uses, treat this as the WhatsApp qualification layer in front of it and export the qualified leads.
Put it in front of your next enquiry
The free plan has no time limit and needs no card — the website chat widget is included, so you can watch the AI handle real enquiries before paying for a messaging channel.
